– Scheduling –
Make sure to schedule well in advance of any personal deadlines for your project.
Before scheduling an appointment, please complete the initial questionnaire below. This information is important for accurate record keeping, and can provide valuable insight into your project before the initial meeting.
Once you’ve completed the questionnaire, email: [email protected] to set up an appointment. In your email, please provide at least 3 times that can accommodate a 1 hour initial meeting.
Acknowledgements and Co-Authorship
CALS Statistical Consulting encourages adherence to the Contributor Role Taxonomy (CRediT) when determining the acknowledgements or co-authorship for a collaboration with CALS statistical consultants. A general question that can be considered is, “would the work have been presented as it is in its final form without collaboration with the consultant?” In cases where a consultant is conducting analysis and providing reports, code, etc. the answer to this question is almost always no. In that case, the consultant likely played a substantial intellectual role and should be considered for co-authorship, not just acknowledged. The standing assumption of CALS Statistical Consulting is that collaborators will be acting in accordance with standard practices related to the integrity of academic research. For questions or concerns about this policy, please email [email protected].
– Policies & Procedures –
Generally, collaborating with CALS Statistical Consulting goes as follows:
- You complete the initial questionnaire.
- You email [email protected] with at least 3 times that can accommodate a 1-hour initial meeting.
- CALS Statistical Consulting will respond with a calendar invite for the meeting or communicate to find an available time (if none of the provided times are available).
- You meet with the consultant to discuss your research needs and what you desire from the collaboration.
- Directly after the meeting, your consultant will send a follow-up email to confirm what was discussed in the initial meeting.
- Updates and results will be shared by the consultant based on the agreed-upon timelines.
- Upon receiving results, you are free to schedule follow-up meeting(s), ask questions via email, etc.
- When the collaboration has concluded, you will receive a 5-question survey to provide feedback about your experience.
What to expect in an initial meeting
An initial meeting will look different depending on your needs. In many cases, the initial meeting acts as an information gathering session for the consultant. You will discuss experimental design, research questions, data methodology, types of data, analysis goals, etc. In other instances, the initial meeting may consist of discussion about an analysis already performed, how to address reviewer/committee concerns, etc. Live production or alteration of chunks of code or exact recommendations for complex data analysis tasks are not to be expected in an initial meeting.
How to prepare for an initial meeting
If you will be discussing an experiment, be prepared to talk (in specifics) about the experimental design. Plot plans and sketches of the experimental layout are highly encouraged. If goals for your research have been specifically outlined by a funding agency, grant requirements, etc., be sure to have those goals available.
If you will be discussing analysis, output, etc., be prepared to talk (in specifics) about how the analysis/output was generated. Ensure that you can easily access and navigate to relevant files. Have any code (R, SAS, Python, etc.) neatly organized and executed beforehand.
Generally, just be well prepared to discuss your research! It may help to have a set of directed questions you wish to talk about. Please do not send large collections of uncontextualized files (code, papers, results, etc.) before the meeting.
Communication Policy
All communication about collaborations should be done with [email protected]. Please avoid using the personal emails of consultants. CALS Statistical Consulting is often dealing with multiple concurrent projects, therefore, timely responses to communications are paramount. With few exceptions, communications from CALS Statistical Consulting should be responded to within 7 days of receipt. If too long a period has passed without response, you may be required to make an additional initial meeting.
Deadline Policy
It is important to schedule initial meetings well in advance of any personal deadlines. Deadlines within 1 week of initial questionnaire submission are considered unreasonable. CALS Statistical Consulting will always strive to accommodate your timeline, but there can be no guarantees. A good rule of thumb is not expect anything within one week of sharing your data.
Cancellation Policy
If you need to cancel or reschedule your meeting, please attempt to do so at least 24 hours in advance.
Acknowledgement and Co-Authorship Policy
The policy can be found here. The policy must be read and agreed to as part of the initial questionnaire.
Grant Collaboration
The preferred way to go about collaboration on grants is to include the consultant as a Co-PI with a budget for a graduate student or postdoc that will be brought in to work under the supervision of the consultant. In situations that require less involvement, please feel free to discuss other options in the initial meeting.
– FAQs –
How do I get in touch or schedule a meeting?
Visit the CALS Statistical Consulting web page, complete the initial questionnaire, and follow the instructions to schedule a meeting. Our email is [email protected].
How much does it cost?
Nothing. CALS Statistical Consulting is a free service for NC State researchers.
Who are the consultants?
Currently, there is one consultant, and they have a PhD in Statistics.
At what stage of my research should I schedule a meeting?
Collaborators can schedule meetings at all stages of the research process. This includes (but is not limited to) pre-experiment, post-data collection, after receiving reviewer comments on a submitted paper, etc. In almost all cases, sooner is better than later. If you will be conducting a designed experiment, it is an especially good idea to discuss the experimental design before you conduct the experiment.
How quickly can I expect my first meeting?
In many cases, you will be able to have your first meeting within 1-2 weeks of submitting your initial questionnaire. However, this may vary depending on the time of year and project volume.
Where are meetings located?
Currently, all meetings are held in Gardner 2312, which is located on North Campus. However, CALS Statistical Consulting can be flexible with this upon request. Virtual meetings are available if an in-person meeting is not possible.
What level of collaboration can I expect?
It is entirely up to you. From light discussion to co-authorship and grant collaboration, you can decide how much (or how little) you would like CALS Statistical Consulting to contribute.
What projects are supported?
CALS Statistical Consulting aims to support NC State Affiliates (students, staff, and faculty) in university research endeavors. Theses and dissertations, grant proposals, research papers, extension projects, and funded research projects are some common examples of what is supported. Coursework, comprehensive exams, and code debugging are not supported.
What software and tools are used/supported?
CALS Statistical Consulting will attempt to accommodate your preferences, however, we may have recommendations or requirements based on the nature of the research.
What results/output should I expect to receive?
In the case of analysis, CALS Statistical Consultants will typically provide 1) a statistical write-up and summary, 2) relevant output, tables, and figures, and 3) any code or software procedures that produce said materials. We will always attempt to accommodate what you need to answer your research questions. If you’d like to see something else, just ask!
What should I NOT expect?
Due to project volume, CALS Statistical Consulting must limit some of the things we can assist with. Time-intensive data cleaning and wrangling is typically something that you should take care of beforehand. Minor formatting and customization of visualizations (usually in the context of meeting journal requirements) are also expected to be handled by you. In most cases, we are not able to provide full instruction on things like basic code syntax, reading in data, etc.
What do I do after receiving results?
It is entirely up to you. You can schedule a follow-up meeting, you can ask questions via email, you can conclude the collaboration, etc. At this point, it is your responsibility to communicate any further needs you may have.
How many follow-up meetings can I have?
As many as you need. CALS Statistical Consulting wants to assist you in answering your research questions and understanding your analysis to whatever degree you wish. As long as you communicate your needs, we will help you to the best of our ability.
I haven’t received anything in a while, what should I do?
While we prioritize consistent communication, it is possible that we will make mistakes. Feel free to email [email protected] at any point for an update on your collaboration.
I didn’t notice an email from CALS Statistical Consulting, and it has been a while. What should I do?
No need to worry. Simply email [email protected] to get back in touch. If it has been a substantial amount of time, you may need to schedule a new initial meeting.
Do I ever need to complete an additional initial questionnaire?
You only submit another initial questionnaire if you want to discuss a new project. If you are returning for a follow-up or discussion about the same project, you do not need to submit another questionnaire.
Does CALS Statistical Consulting offer other services?
We have participated in workshops with particular faculty and their labs. We are currently considering options for workshops or other open forum-type group sessions. If you have an inquiry about something you’d like us to be a part of, please email [email protected] and ask!
